Who we are

What we collect
When you use our website or contact us, we may collect:
- Details you give us in our enquiry form: your name, company, work email, phone number, an estimate of your annual import value, what you import, and whether you would like early access to Import Hub.
- Anything you tell us by email or on a phone call.
- If you become a client, the information needed to carry out our work, such as customs declaration data, import VAT statements, invoices and supplier documents. This is mainly business information, but it can include the names and contact details of people at your business or your suppliers.
- Basic technical information our hosting provider records automatically when you visit the site, such as your IP address and browser type, used to keep the site secure and working.
How we use it, and our lawful basis
- To respond to your enquiry and arrange your free review. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.
- To deliver our services if you engage us, including preparing and submitting claims to HMRC on your behalf. Our lawful basis is performing our contract with you.
- To keep records we are required to keep, for example for tax and accounting purposes. Our lawful basis is complying with our legal obligations.
- To follow up about our services, including updates on Import Hub if you asked for early access. Our lawful basis is our legitimate interest in promoting our services to businesses. You can ask us to stop at any time.
We do not sell your personal data, and we do not use it for automated decision-making.
Who we share it with
We only share personal data where we need to, with:
- Service providers who help us run our business: website hosting and security (Cloudflare), our database (Supabase), email delivery (Resend) and business email (Zoho). They may only use your data to provide their services to us.
- HM Revenue & Customs, when we submit claims or correspondence on your behalf.
- Our professional advisers, such as accountants, lawyers and insurers, where needed.
- Anyone we are legally required to share it with.
International transfers
Some of our service providers are based outside the UK, including in the United States. Where personal data is transferred outside the UK, we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or Addendum, or the UK Extension to the EU-US Data Privacy Framework.
How long we keep it
- Enquiries that do not lead to an engagement: up to 24 months after our last contact, then deleted.
- Client records: for the length of our engagement and up to 6 years afterwards, to meet legal, tax and regulatory requirements and to deal with any queries from HMRC.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is wrong or incomplete;
- ask us to delete your data, or restrict how we use it;
- object to us using your data, including for marketing;
- ask us to transfer your data to another organisation, where applicable.

If you are unhappy with how we have handled your data, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Cookies
We do not use analytics or advertising cookies. Our hosting provider may set strictly necessary cookies to protect the site from abuse; these do not track you across other websites. If we add any other cookies in future, we will update this notice and ask for your consent where required.
Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last changed.
